The Way I Use AI to Plan, Organize, and Get More Done

I never imagined I'd be the person who talks about Artificial Intelligence (AI) like it's my sidekick, but here we are.
I’m a busy woman. I’ve got a full-time job, a business, a family, a calendar that never stops dinging. So when I found ways to use AI to actually lighten the load? I leaned in.
Here are a few prompts I use regularly, some for my business, some for life, all for sanity.
1. If I want to summarize a Video, Article or a Web Page So I Can Multi-Task
Mornings are my multitasking time. I’ve usually got a YouTube video playing while I’m brushing my teeth or getting dressed, but I’m also trying to retain the info. So I pull the video transcript and ask AI to summarize it with this prompt:
"Summarize the following [transcript/article/web page] and give me the top highlights in language that will make it easier for me to understand and remember."
I get digestible notes I can come back to later, and my mind stays clearer. I have found that I can give the AI a URL if it's a simple article or web page, but just test it out and be clear with what you are asking.
To get the transcript from a YouTube video on your computer, go to your history, and find the video you want the summary of. Once. the video is on screen I click on “...more” usually as part of the description and then go down to transcript and click on Show Transcript. I then toggle timestamps and copy all the text from the transcript. I can then either throw it into a google doc and download as a .pdf or just copy and paste and include right after the prompt.
2. If I want a Virtual Coach (Seriously)
When I was deep in my Dan Martell phase (his YouTube content is gold), I wanted to apply what he teaches. So I typed:
“I want you to act as if you are Dan Martell and coach me step by step through building my online platform and presence. I’d like you give me 5 new things to do every day to help me move the needle. You can be tough and firm, I want to be held accountable.”
It gave me five things to do that day. Then I asked for the next five. I was off and running.
You can pick whomever you follow to model the coach after, my tip - ask the AI if they know that person first, if they do, they can probably find enough about the person to model the coach you need.
3. If I want a Workout Plan Built Just for Me
I’ve got dumbbells, a bench, and a plyo box. So I asked AI:
“Act as a Certified personal trainer and give me a 3 day split workout plan specifically for women. I want you to make it functional and utilize what I have available to me [what you have available] and I want it to take no longer than 30 minutes and hit all the muscle groups weekly. Please ask me any necessary questions to help personalize this plan if needed.”
And guess what? It asked me follow-up questions, just like a real trainer. Best part, once it gives you a workout, you can then ask it to modify if you don't like a particular exercise. Just keep working with it until you feel like you have a plan that works for you.
Bonus: Life Planning with Depth
This one’s my favorite:
“Help me build my vision for the next 12 months. Ask me 20 questions. Then write my dream life story, affirmations, and break my goals down into relationship, business, family, money, body, and life—monthly, quarterly, 6-month, and yearly.”
It walked me through a full reflection process—faster than a workshop and more personal than a planner.
2 Fun Prompts You’ll Actually Use
Planning your week:
“Act as my productivity coach and help me organize this to-do list across the week.”
Just throw in the whole list of items you've got to do or take a picture of the list and upload and watch it help you organize your week.
Planning a fun day in a new city:
“Act as a tour guide. I’m visiting [City] from [time] to [time]. I want to do 3 fun things and end near a great lunch spot.”
So no, I’m not a tech nerd. I’m a busy woman using smart tools.These AI prompts don’t just help me get more done—they help me feel more in control. Try one and let it surprise you.
